There are always risks involved with providing access to a Database. User accounts can be compromised, which can lead to a breach of data confidentiality or integrity. The more users have access to your Database, the greater the overall security risk.
To keep risks low, we advise you to follow certain account security best practices, and regularly remove users who do not need access.
In most cases, the cost of using ActivityInfo increases as the number of users who have access to your data increases. Regularly removing inactive users can also help control costs.
Keeping the user permissions for Databases in your billing account up-to-date is important for both security reasons and cost control.
Identifying dormant users
To identify and clean up dormant users, use the following resources:
- To get an overview of your total number of unique users, along with their dormancy status, follow the steps in Exporting billing account statistics.
- From the User Management page of each Database, you can filter and remove dormant users.
- Consider deleting users that no longer require access to your Database.
Reducing the number of full user licenses
Most ActivityInfo subscriptions include a mix of full and basic user licenses. You can reduce subscription costs by making sure that you don’t pay for more Full User licenses than you really need.
Consider the following resources to identify cost saving opportunities:
- Exporting billing account statistics can provide an overview of all of the users counted towards your billing account, and the type of user license they require.
- For Databases with a large number of users, it is rare for more than 10% of users to require a full user license. If you find Databases with a large proportion of users requiring a full user license, it is likely that the Roles in the Database are not optimally configured.
